Can OneNote store files locally?

Based on these historical events, we still have the mentality on our mind that we need to keep our digital rooms clean and fill your hard drive on your computer, but I really have the mentality, and I try to get this across to our customers as much as possible to simply treat digital storage space as unlimited. If you use G Suite and subscribe to the business plan, you get unlimited storage space. And with a fair play policy, it is not unlimited, it is literally unlimited.

I personally have terabytes and terabytes of 4K drone footage, all sorts of things stored in my Google Drive that never slow down, Google never complains about how much data I have there, and everything works great. So if you're still thinking, 'Hey, I should keep my digital rooms clean' then don't worry, just use Google's effectively infinite storage space. In order to specifically answer the question: 'Should I have files on mine? 'Or should I have them all in the cloud?' Google makes it very easy with an application called Google Drive File Stream.

And Google File Stream is an app that sits on your computer. It's similar to the Google Drive sync app that Google has now renamed and rebuilt into File Stream, kind of like the Google Drive app or Dropbox, but with a few special features. So, with the old Google Drive app or the Dropbox app, you kind of have to choose which folders? I want to have it locally and which folders I want to have on the web.

And you have to somehow manage that data and think about it yourself. While File Stream does all of this automatically, and it does it really well, what does Google File Stream do? Well, it takes every one of your files that you have on your Google Drive online and you can see them all from the local desktop. So you're looking at the cloud, but you're actually browsing the local desktop.

So if you're using a Mac, PC, or Chromebook, you'll see all of your Google Drive, and you'll see all of your team drives too. While you can see all of these files, when you open any of them, Google will actually download them in the background. So it won't be saved on your computer until you hit the 'open' button, and it's all about to open that file, and Google has some AI knowledge in it so they'll automatically download the files in the background when you get them It also predicts what files you want to use in the future, and it keeps a copy of the latest files you've used on your computer just in case you want to open them again.

So if you happen to be offline and want to access one of these files again, Google makes it really easy for you to just click your way through Google File Stream and you will be able to access the file. Now you might be asking, 'Well what if I'm completely offline?' If you're completely offline and you want to access a specific folder or file, using Google File Stream, just right-click that file and then say I want to keep this file offline, and that either keeps the File or folder offline and synced down to your computer. Now if you have a bunch of files and you want to upload them to the cloud or put them on your Google Driv, you can drag and drop it into File Stream, Google will do all of them upload them to be saved to Google Drive online, and then it does this little cleanup and removes them locally.

So should I have it? online or offline? it doesn't matter. They are all backed up by your Google account. And once the files are on your computer, you can always access them.

But File Stream really takes away the guesswork that you used to have with you the old Google Drive app, or you still need to deal with the Dropbox app to enable or disable selective syncing, do I want to toggle this file on or off? It's all a manual process, while File Stream just uses AI to automate all of that. So think about when you might need these files. If you need them offline, you can choose a specific folder or file structure to stay offline.

Neil Malek with Knack Training brings you another everyday Office article, and in today's article I want to show you some of the benefits of using Microsoft OneNote with Microsoft SharePoint. So this is my OneNote notebook for another group of people I deal with, the HR team, but let's say we started a team for a specific client that we help with different things, suggest different information to them, suggest different projects to them, et cetera. Well one of the things we would probably do is go into our SharePoint environment and create a new SharePoint site.

As you can see here, I am using the SharePoint Online Version that is offered through Office 365, but you can build a site in pretty much any of the latest versions of SharePoint and get many of the same benefits that you'll see with this little exercise here. So I'm going to click Create a Site and create a site for the team that is in. I'm going to call this site something like ACME Corp Support, so everyone involved in supporting the ACME Corp client that we have is going to be one now Have group email address in Office 365 from ACMECorpSupport, and in addition they are I'm going to create a new site on SharePoint.com/sites/ACMECorpSupport.

Now when I hit the bottom I get asked who else will be part of this team and let's say Jacqueline and Alejandro and Jun are all part of the team that is involved in supporting ACME Corp. So I'll hit Finish here and a new SharePoint site will be created that will allow me to collaborate with the rest of the people who are working on this particular project. But since this is Office 365, you will notice here on the left that there is an entry immediately called Notebook.

If you're now using one of the earlier versions of Microsoft SharePoint, you'll still have your document library here called Documents, or sometimes in earlier versions as Shared Documents. When you go to Documents, you can always decide here whether to upload your OneNote notebook want if you want. So you can still upload a OneNote notebook to any SharePoint site by uploading it and then you will still get the same interaction that you will see here, but as you can see I now have this notebook entry, since I'm using Office 365 and it immediately opens an online version of Microsoft OneNote and it tells me that there is a support notebook here that the rest of my team can collaborate on right away.

Now, to see this in action, I'm going to open Alejandro's accounts so we can see that Alejandro can also access the same notebook. So here is left and right. On the right is Neil, on the left is Alejandro.

As you can see, Alejandro came across the ACME Corp support site right here, and when I walk in here you will find that he can go to the OneNote notebook as well, that other information that is stored in Microsoft OneNote. And both Ale jandro and I have a link here that says I can open this notebook natively in OneNote as well. Let me do that as Neilover right here.

I'll click Open in OneNote, and then I'll say yes. , please open it in OneNote 2016 ', then:' Yes, I want OneNote to open this OneNote notebook from the SharePoint site. ' And just like that, I have a OneNote notebook for ACME Corp Support that doesn't contain anything.

So I'll go in here and say the first section is initial planning, then suggestions, implementation, and evaluation. OK. Now I have four tabs here in the OneNote desktop app.

In the initial planning, I might come here and add some initial briefing, you know, add some information here. We talked about it. We talked about it.

We talked about it. We wrote notes about it, etc. And then, in the top left corner, all the time you see that tiny little green bubble right on top of the notebook telling you it's syncing back to the SharePoint site, so it's talking all the time with the SharePoint site and let it know what types of implementations, what type of changes have been made in the desktop app.

Let's look at this here in SharePoint, and you can both see Alejandro and Neilare can see the Initial Planning section, they can see the Initial Meeting and Conversation page and see the contents of it. So we have this live interaction where, for example, here I go to the sections. Let's go to the implementation.

Let's do a page called First Project Implementation. So Alejandro goes online and decides that the first page of the 'Implementation' section is First Project implementation means. It contains some content.

Neil, here in the online version, sees it immediately, and then Neil with the version that is open here in the desktop app. If I go to the implementation and wait for it to be updated I will see that this page is renamed First Project Implementation The entry is listed as being created by Alejandro Ochoa. Not only that, but here at the top of the History tab at the top of the screen I also have the option to go to Search by Author, and with Search by Author I can see that both Alejandro and Neil created content in this OneNote notebook, and I can go back and find those changes and see what date they were made.

Let's say I'm in my one notebook, I have this first page that we talk about the first few conversations we had, and then I realize, 'Oh. You know what? 'I've got this meeting ahead of us.' Why don't we just put the details of this meeting right on this page? 'I go over here and click Add Page, so here's my blank page and this is up here I have the option to add meeting details to the screen.

And interestingly, I have this meeting where I'm doing client onboarding this afternoon at 2:00 p.m. so I click on that and it immediately throws all the details about that meeting, who's in this meeting, all this other information right into that page in the notebook.

And again, anyone who sees this online can see the details of the client onboarding meeting just like that, can add notes whether you're on the online version or the desktop version. And then the great thing about it is, let it let's look at this from the team's perspective. Someone new to this team, I'll probably add them to the SharePoint site that works for ACME Corp.

is. is an entire SharePoint site devoted to the things we do to help ACME Corp, so it makes a lot of sense for someone who gets on here to tell you, 'Hey. Go to the notebook 'and you will see all the information' we have collected about this customer. 'You can go back and' read all the meetings we had 'through the customer onboarding meetings' through the meetings we had with 'this person' or 'that person' all the details, they are all stored in this place. 'And if you'd like, as this is going to be so important to your daily life,' Why don't you go ahead and click the link 'Open in OneNote and you'll have' a desktop version of it 'that you can access anytime . ”So that kind of back and forth integration between the browser and the desktop version that it automatically shares with anyone who joins a team and can have that as a store of information is incredibly valuable.

How do I save OneNote to Windows 10 locally?

I highly recommend using the paid OneNote version if you have both installed, but they both work very well. Starting with this version of 2019, OneNote does not require Office subscriptions as it is installed as a free app on Windows 10. Does not work on older versions of Windows and if you have a Mac you can download this product for free directly from the Mac App Store. The main OneNote workspace is very simple: at the top is the toolbar which contains all the functions and tools available; on the left the navigation area with all the notes saved in OneNote and on the right the large preview where you can enter, draw and link files.

The navigation area shows the basic structure of every document in OneNote. The notebooks are large collections of colored chapters called sections. Then in each section you have all the pages with notes, drawings and attachments.

You can click a notebook or section to open it and select any page to see it in the main preview. First of all, OneNote has a standard notebook with pages that contain various tips and suggestions for using the product. You can create new notebooks, sections, or pages by right-clicking an empty area or using the plus buttons below.

Any changes and edits made to a OneNote document are saved to the cloud every time you see a sync icon in a notebook. Then click any cell to enter it. These will automatically adjust to fit the text content, but you can set the cell size yourself by clicking and dragging their borders. Also, in the Table section, you can customize the table layout, add or remove rows and columns, and customize the color of the cells selected with shading.

Click Hide Borders to hide or show the cell borders. Use file to browse and import attachments on your site. These are added as simple notes with a name and symbol within the gray outline.

You can open these files by double-clicking them. Use Pictures and PDF to add pictures and PDF documents with a full preview open in the OneNote workspace. You can import tables, files and images within an existing text note in order to keep them linked within the outline.

Just go to a new line and import the contents using the tools on the Insert tab. You can use the tools on the Draw tab to freely draw on the page. Activate the pencil, pen, or highlighter and click again to set the trace radius, its color, and its style.

Then click and drag on the page to create your drawing.
