Hey everyone, Neil Malek with Knack Training brings you another everyday office article, and in today's article I'm going to show you the first of three techniques you can use to reply to a template email. As I said, this is the first of three techniques, I'm going to come out today with articles number two and three so you can see which technique is best for your situation. The simplest of these three techniques is using what are known as Quick Steps.

Quick Steps are easy to create buttons. I like to think of them as not code macros. When I go to the top of the screen here and hit 'Create a new quick step' I create a new button that, as you can see in other situations, reply to an email and delete it or forward it to a manager, etc.

So if I hit Create New and decide that I want to reply to a specific email, you'll find that I can choose between Reply and Reply All go ahead and choose here and then reply to all Show options You will see that you have the option to enter your text and template information. Now notice the two things that we cannot do in this area. The first thing we cannot do is that we cannot format the text of this answer and the second thing we cannot do is that we cannot include any attachments in this answer.

But if we try to reply with the same template content every time, it's a very easy way to reply with arrival, and this could be something like the facility's address: 11456 First Avenue Richmond, Virginia. At the gate, name Harrison Barnesas as your contact .Great, so this is where you feel good.

You have created your answer with arrival You can click on Finish below and you can see answer with arrival here next to your answer and answer all the buttons. And so, basically, you can do this for as many of them as you need. You can click that little drop-down menu now, you can choose, Create New, and now if you need to reply to a specific answer, let's say you reply to people applying for jobs.

You might reply with and that could be something like App Info with just a simple answer here. Show options and say something like Thank you for your application. We'll get back to you within ...

Oops, get back to within 48 hours with you. I hit finish at the very bottom and now we're answers with application information and answers with arrival information right here at the top of the screen, next to answers and answers to all. How can you save time and effort in managing your email using the folder features in Microsoft Outlook? Hello, I'm Dawn Bjork, The Software Pro. I am also a Microsoft Certified Trainer. In this training we will focus on working with folders in Outlook.

What's your Outlook personality? Are you a filer or a piler? That said, do you move messages to a multitude of folders, or do you keep most of your messages in your inbox? Most people leave them in their inboxes, and even with the robust search tools and Outlook, keeping all of your messages in your inbox is a huge drain on productivity as you often touch a message multiple times. Also, it is easy to miss important messages as you will skim through a lot of the content in your inbox if you need to keep a message for future reference. Keep your inbox clean and move it to the appropriate folder.

Let's focus on working with folders. Now, many Outlook users create and work with themed folders like clients and among clients there could be Big Important Corporation etc. Now it won't take long for that hierarchy to transition from productive to complex with too many folders and topics, and with so many of us checking email on our phones, it may make more sense of location.

Consider switching from a topic-based to an action-based folder structure. This will be a lot easier. For example pending, parking lot, processed, reference.

There may be a reading folder, a message that you download for times when you are traveling or not so focused on your inbox. Personal, d. H. action-based folders, give you a place to move messages without having a really complex folder system.

Now that you can figure out which approach works best for you, you can also use a hybrid mix of topic and action-based folders. Let's look at different ways to create a folder would be to right click on the primary or parent folder like the Inbox. For example, for clients, I could right-click here and see all of these options, and that would include other folder management tools as well.

So be sure to explore them. In this case I will create a new folder and this could be Big Important Client now. This is in contrast to the philosophy that it is action based and first and foremost I want you to see here that it is then we can easily clog up.

Here is the hybrid approach with action-based folders for example, Pending. We'd like to put it here while waiting for a follow-up so we can mark it for follow-up in Outlook and find it again later. That said, you might have things that are being processed, I don't want to get rid of it just yet, but it doesn't really have to go into a folder, which means you can come back to it regularly and just delete it.

So think again about what makes sense for you. Another way for us to create a folder is by going to the 'Folder' tab and from here we see 'New Folder' on the left. The keyboard shortcut for this is CTRL + SHIFT + E, so this is another way of working with a folder or creating a new folder.

It puts you in a dialog box so just a different approach and you'll find that the right click menu is a lot quicker to work with. From here, if I'm going to be topic-based, maybe if I'm planning an upcoming conference, maybe I'll create a new one here and just choose, OK, so different strategies for it. Now also notice whether we created a folder or not, we also have options here based on where we are.

Then we would have the option, for example, in this case this is an empty folder, but we could then focus on renaming, copying, moving, deleting and looking at all of these choices we will talk more about in a moment and add to favorites the we shall investigate as well. Many options are available to us when it comes to folder management, whether you are working with just a few folders or many, the key to cleaning up your inbox is not just to throw a bunch of messages elsewhere o take action and you have probably heard of various time management and productivity tips. Find out what works best for you.

A simple approach, especially when we're working with our inbox, is to make a decision so we don't keep touching a message. Do we want to delete it? Are we gonna do it? That is, if it only takes a few minutes and it could be a lot easier to mark it up for follow-up or try to remember it later. Is it something that someone else should really do? If you know it's going to take longer, maybe you should put it off and then flag it for follow-up or even make it an appointment point to look at and bring up.

These are some of the things that you might want to consider as well. It's not just about creating a folder structure, it's about whether those messages need to go into the folder in order for you to empty your inbox. Well how do we move messages? Well, there are a lot of different options for that.

One is that we could just drag a message over there. So here we go again, if we have more folders, then this can be a bit more cumbersome. But for this message, for example, I want it to go on my tech newsletter so I could just drag this.

Now you'll see in A Moment where Favorite Folders are a way to make this easier. We also have the option to move and this is available to us in a number of ways. On the Home tab of the ribbon, there is Move here.

And then we would see our newest locations here. And that would be a way for us. Another option is to right click on a message and you will then have the options to move it too.

So very similar to working through the menu ribbon and from there you would also have the option of moving to other folders and managing them. Another option is the keyboard shortcut CTRL + SHIFT + V. You probably won't find this the easiest, but there will always be a keyboard shortcut to know that this is another way to move a message.

And finally, we could create a rule in Outlook to automatically move messages from your inbox to a specific folder. And that could be the case with things like these tech newsletters that I want to read but also don't want to receive in the sense of maybe higher priorities that I work with. Let's go back to those points that we use regularly, because we can use our favorites.

Now this is a really helpful time-saving tool, for example my tech newsletters, I want to be able to work with them. I'll right click here and just left click on Add to Favorites. This is an option that is also available in our folder bar and either right click on it or I could select Add to Favorites from the ribbon.

What then happens with this is that we actually create a favorites area above our primary inbox folder structure and you can keep adding to that. Now these are just shortcuts and you always have the option, for example, to right-click and then remove them from favorites. That said, you might have projects going in and out.

Then there may be some things you don't have and need to focus more on being removed from favorites. It's just ya shortcut and so you don't delete the content that would happen if you actually physically removed the folder we have in our inbox in this case. These favorites are also things you can rearrange newsletters, we could add others here too.

And that can then be very customized to make it a lot easier. For example, here I have an e-mail about one of these conferences and can simply drag in and have them available. Also here is something for my tech newsletters.

So it becomes another way of being able to access it easily and even if you have a somewhat ambitious folder structure. The other thing to keep in mind is that in your existing folders, whether you work with favorites or not, they can be rearranged. This is really helpful and something that wasn't available in some previous versions of Outlook.

And that's why a lot of people don't know about it yet. So from here, if this were one of my priority conferences, I might actually be lugging them around, maybe important projects that I want to move up. There might be other things that I want to rearrange.

And so it is no longer necessary to do this in alphabetical order. But anytime you get too ambitious or just want to get them back to their original state, you can just switch to any folder. Now it could be included here specifically in conferences.

I could right click here and just say Sort subfolders A through Z and you can see the Up and Down as well. So these could be rearranged or go to my inbox. And note that this option is also available in my Folders tab of the ribbon.

From here I could just arrange these in alphabetical order. How can you take advantage of the folders and make them work better to save time and really clean up your inbox? Now you've seen how you can save time and effort by taking advantage of folders in Microsoft. use Outlook.
