- Hey, are you emailing a group of people who don't know each other? A good example could be sending your customers a company newsletter or invitations to a company event. If you do, I'll share how to make sure you don't annoy anyone by sharing their private information with all of the recipients of your email. Pretty good right? (delightful music) Hey, I'm Sharyn from Excel at Work, where we provide straightforward, non-technical support to help you become a confident, super productive, and super safe user of Microsoft Office.
In this article, I walk through a scenario at that sends a message to a group of people who don't know each other, I'll show you how to hide email addresses and confidently send messages to the group knowing that private information is kept private. And if you personally have any more tips that may be really helpful to others, share them in the comments below, we'd love to hear from you. Hello, well, here I am in Outlook and I want to tal I went through a scenario.
That actually came from or comes from, I go out and do workshops in Outlook and I just hear way too often, people tell me they did this and got into trouble and I don't want it to be you. So let's talk about it, when we create a new email I'll just go up here and click New Email. And when we're creating a new email to a group of people who don't know each other, and what I mean by that, a good example is when you send out the company newsletter or maybe an invitation to a company event and the last thing You want to do, copy everyone's email addresses and into the ones in the box or the CC box, because what happens when people get the message, they can actually see all of their email addresses in these two fields have been inserted.
So, I'm going to introduce you to a new field. So if I just go up to the Options tab and I'll just go, if you're on an earlier version, you'll likely see the full Ribbo n. So, I'll just click on the BCC box.
Well it depends what school you went to, I guess what you call BCC. Some people call it a blind courtesy copy, some people call it a blind copy. I think the blind bit is the bit we're focusing on here.
So I click on it and now it will be in the message area so we can easily insert information is what you are supposed to do from now on. If you are sending messages to several people who do not know each other, please do not enter their addresses here. Obviously I am, but I'm just pretending to be.
And I may have gone to Duncan and who's another person in there, I'll just use one of our trainings, he's Ted E. Bear. So if I really catch these three people and they didn't know us what could happen if I send it out, just like a company newsletter, type something in and then just add an attachment to what can happen is one of these Three people or multiple people can get very upset that you've just shared their private information with people they don't know.
In fact, I trained in a law firm and one of the lawyers there told me we were in a workshop, a large workshop and one of the lawyers there told me that he had received a newsletter from his gym and his email -Address was at the top of the To field and he was not happy and he let you know. I don't know if I want to hear from a lawyer who was unhappy. So let's go, that would be what I would like most if I saw you doing it.
So obviously, I mean if I just walk like that and just pick it up and drag it, I can pull it down ... the BCC box.
Of course, this is one way to do it, or you can just start typing people's names into the BCC field, so I'm just going to put Duncan's name in the address here in the To field. That means that when people get it they only show your email address and of course it comes from you anyway, so it's no big deal. And down here they won't be able to see any of the email addresses that were put into this field, it's okay to actually say, oopsie, I'm just going, maybe you should get my email, my insertion point here put down.
I could actually register here, participate. And then I could actually put people's names in here, but certainly, the names, it actually doesn't have any private information. So, there is an idea that you don't need, but it's just an idea.
All I remember is that this is obviously going to Duncan so I just hit the submit button and off I go. Of course you will also get a copy back. So if we're just waiting for her to come in.
So you can see right away that others can't see these email addresses, that's all they see, the two are up there, which is obvious, Anne's address in there, and that's it, that's all they see. So if I just stop by, I only have Duncan's Gmail address, here it is. So this is the company newsletter that came in, I didn't really add the attachment, did I? So embarrassed when you do this? So, I just open that up and over, it goes to Anne, but I can't see any information from anyone there.
So, this is pretty cool and of course you protect yourself, it protects their information and looks really professional too when people see that you are actually protecting their private information, Hey, look, and while we're on Gmail, look at you this on, I'm going to compose, look, it's here. So, if you are a Gmail user, for example for your private email information and maybe even for a club or something like that, then of course you can just do BCC and do the exact same thing and the exact kind of, the same result will occur. Hope you found this useful and we really care to protect you You have never seen this before, start using it.
In fact, I would suggest that every time you use a new one, leave the BCC on. Of course you can turn it on and off, just go to options and it's a toggle, turn it on, turn it off. But if it's there, at least you think, don't you? Maybe I should actually use this BCC, it is actually hiding blindly, it will make sure that people can't see all recipients email addresses, other people can't see all recipients email addresses.
So, I hope this has been helpful in future private email addresses. It may be worth going to the Messages tab, checking your BCC box so it's always visible and a good reminder when you're sending messages to a group of people. If this was helpful please let me know in the comments below.
