Hi, I'm Sandy McBain Welcome to Microsoft Word 2010 Mail Merge People have asked me how to creatively use the mail merge process to create sequentially numbered entry or raffle tickets, so this article will show you how to do it. First, I'm going to open Word open and here is an example of the tickets we are doing for a charity raffle 5050 and you can see that they are numbered in two places on the ticket so no problem with pinning form letters anything, what I'm going to open up is Microsoft Excel and the reason I'm going to do that is I'll be using Excel to do my numbering for me when all you need is nine hundred tickets or less. You can just start at number 100 if you need more could start with a thousand for those of you who are unfamiliar with autofill come to the bottom square of the okay cell in the lower right corner, this changes the square that Your cursor changes to a solid black goal plus sign and then just drag that down because we started at 100 we're going to go to 901 so you can see I'm pulling myself straight down and making a note of that which line i am on the left here is the little wizard for the autofill options click on it and select fill series and now you will see that they are consecutively numbered starting at 100 and going up to 999 on mine Desktop and I put it in my Tickets folder and just call it Tickets and I close this file so let's open Microsoft Word now, here's our example, let's start over e so i go to the file and then to the first thing i want to do is change my margins so that i have a smaller margin around the page.
I go to the page layout margins and just choose half an inch around the page. Now I'll add a table if you remember that labels are tables. There's the formatting toolbar and context tab We also have the Table Tools context tab I'm going to resize this image to point five and I'm going to change how it relates to the text, as you can now see it matches the text, so the text is being pushed around which is a difficulty with Word how it relates to text but if you are looking for the text wrap icon you can either c select it from the ribbon here or you can select it if it is next to your picture is shown. You can change how it relates to the text so now I'm going to enter some text with text this round.
You can see we're getting very close to the example that looks like I'm going to center all of this text, I'm going to enlarge our text for the charity raffle so how do we take this now and turn it into a mail merge for our ticketing, go to the mailing ribbon and us are going to start the mail merge we are going to pretend this is a label then it now says this was the last label you used is it doesn't hit cancel at this point and what you want to know , insert fields is at the top right here and updatelabels is now grayed out. This next record is a placeholder for the next record, so let's click on a preview of the results and this would actually print out if that's what you want then you're good to go so let's take a look at the preview and it looks like we could add more tickets for a whole series here.
Click on the very last position in the last cell and hit the Tab key to add another row to our table.You may want your charity raffle text to be a different color, and you may want to highlight your ticket number by changing the color. If you mark the entire field you might make it green and you can italicize this, if you make changes to your label template you will have to go back to the mailing label and update the labels to have this rollout on every label field so now you can see that it has this new line in it.
