Welcome back to our course on Project 2013. This is the first time we're going to look at resources in this section, and by resources I mean things like the people who will be working on our projects, the materials we will be using, and the equipment that is required in building this house. There are several other types of resources that we'll look at a little later in the course.

But right now we are focusing on the people and the materials and the equipment for our house building project. Now, when you look at a Gantt Chart, a view in Microsoft Project that most people spend a great deal of time, you are essentially looking at the tasks associated with your project. If you'd like you to look at the resources, there are a number of views that are specific to resources.

Now when I click the button under the Gantt chart there on the Task tab on the left, click on it, I get a list of the available views and one of the available views is the resource sheet. And we click on Resource Overview et first and we see a list of the resources we currently have in our project, note with the view that you have a label on the bottom of the page that just reminds you which view you have. You have the resource sheet view.

And one more thing to note is that as I mentioned earlier, at the bottom right end of the status bar, you have some buttons to toggle between the most commonly used views. Now the button on the left, the first of which highlighted at the moment is the Gantt Chart. So to switch back to the Gantt chart I can just click on it and the three to the right of that is the resource sheet view.

So when I click? That brings me back to the resource sheet. These are two of the views you'll use most often while working with Microsoft Project. Now let me set up some resources.

One way to set up resources is to set them up in the resource sheet. The first thing I'm going to do is define a resource called a brick layer. Now a bricklayer is a person who lays bricks.

And whenever there's something to be done, I'll probably assign a bricklayer to do a job. Now it's very important to realize that I am I'm not talking about a named person here. This is not the layer of brick called John Doe or Jane Doe; This is generally a layer of brick.

And there are some situations, maybe in the longer term planning, where I can use a source of the brick layer, knowing that I need a brick layer, but I don't know exactly which yet. And there are some situations where I can assign a person right away, but more on that later. At the moment we're just saying brick layer.

Next we need to click in the next box and select atype. Now in many ways this choice is the most important of all. There are basically three types of resources, although there is one special case that we will talk about later.

But with these three resource types it is very important that you assign the correct one. A lot of these are related to cost and we will talk about cost later.

So I'm really going to ignore the cost for now. Several of these fields are important. One of the important fields is Max and the field max indicates the maximum number of this thing we have available.

Now we're going to talk about maximum quantities and availability and so on later, but at the moment 100% means we have one of these things. We have a brick layer. So when we are planning to build the house, it can be very important to have only one layer of brick.

Now, another one of those cells that is actually very important is the initials cell because, while initials, while they don't really affect any of the calculations etc that we are going to do, they appear in a number of places that are especially special with the GanttChart And it's useful here to have a good abbreviation for the resource we're talking about. So I'm going to use Brickie as my abbreviation here, World too, let me just point out to you here that when I'm working on the resource sheet here, I have the edit bar so I can type in there that the abbreviation will be Brickie, tickit, OK . Now let me go back to typing because type is actually the most important cell that we need to look closely at right now.

There are essentially three types of resources in Project 2013, and I'd like to look at each of those types now that will lead you to a fourth type of resource, but it is not a different type of resource at all. We'll talk about this briefly later. The three types of resources are labor, material, and cost.

And for the purposes of this introduction, we look at work as the people who work on our project, who build our home. So there will be people like the bricklayers, the workers, the plasterers, the painters, and so on. Materials are the resources that are consumed in building the house.

So these will be things like bricks, window frames, concrete, cement, mortar, etc. Cost is usually a different cost. An example of a cost could be an account that is used for various expenses on the project.

So we could have a pool or something like that. Britain would be called a small change account into which we could deposit travel expenses. Well, the way these three different types are used in Microsoft Project is actually very different, and especially when we get to the field of costing, the way the three of them do your job is very different.

Let's stay at work for now. Our mason as a person is a kind of work resource. And if you look at the cost fields I just mentioned, you can see that we have a standard tariff, which is a certain number of dollars per hour that we pay a bricklayer.

And then we have an overtime rate, a certain number of dollars per hour that we pay for overtime, an additional time rate. We also have a different cost figure, the cost is per use, which is usually an additional cost. We may have to pay one off for using this resource.

Now when you are talking about a bricklayer there might not be an additional cost per use, but you can also use a labor resource type for something like a piece of digging equipment. Hence, you may need to rent digging equipment. It might cost $ 50 an hour while you do the job site prep, and it may have a cost per use.

For example, costs for the supplier of the dredging equipment to be delivered to your construction site and then picked up again at the end, which is a one-time additional fee. Now we're going to look at the full range of costs later, but I just wanted to point out to you there that when you look at labor resources, the cost is generally based on the amount of time it is being worked on your project, with the possible addition of one Cost-per-use value. Now let's set up a material type of the resource and the material The type of resource I want to set up is Bricks.

So I enter bricks. This is sa material resource, watch what happens when I select material in the other fields that were filled in there on the resource sheet, you notice that the default values ​​are changing, the default rate is no longer per hour, the default rate is the cost There is no overtime rate. There is a cost per use.

Now I tend to think that the field name there, Material, is not a particularly useful field name because that field is actually the units of measure for the material. In the case of bricks, we will now talk about bricks in a thousand. So my unit of measurement is a thousand.

I could put the word thousand In fact, you can put anything you want in this field, as long as it makes it clear what the units of measure are.In a typical house I would say let's use around 10,000 to 15,000 bricks, which means that this is joint material, bricks if I have 12,000 bricks I would say 12 of this resource because that resource is 1,000 bricks. We come back to the cost a bit later. But let me just point out a couple of other things. When I say select the bricks and double click, then I get a resource information dialog that is a bit like the task information dialog, but this one basically has all the information you need about a particular resource, various Tabs: General, Cost, Notes, Custom Fields.

We'll look at many of these later in the course. One of the things to keep in mind here when dealing with costs is that you can view changes over time. So if the cost of something goes up, down, or a percentage over a period of time, you can cover that in the resource info here.

So when it comes to things like costs, Microsoft Project is pretty powerful at what you can do. Now we'll come back to the Resource Information dialog in a little more detail later. In the next section we will now deal with assigning these resources to the tasks within our project first do-it-yourself exercise.
