Export teams chat - viable solutions

How do I save teams chat to a file?

All you need to do is to hover over a message in your conversation. This will work both in channels as part of a team and in private chats. For example, if you wanted to save team's chat message below, simply hover to the right of the conversation, click on the ellipsis and select 'Save this message' as seen below.

So you've started using Teams and now you want to convert all of your files that were likely stored in the shared drive or in SharePoint into Teams files. I'm going to show you three ways that you can move your files, and the third way is the best, so keep an eye on it. Okay like I said there are three ways to move your files.

The first way we're going to look at is to go straight into Teams and let you know some of the limitations of doing this. The second way is through SharePoint, which may require a different browser other than Internet Explorer. I will show you that this is what you need to get.

And the third way that I said is the best way is OneDrive sync. So if you don't know anything about OneDrive, we'll get into that a little later. But the first way is right in teams themselves, so let's look at that.

So I'm on an old project team used for illustration purposes only and we're on the Files tab where we want to move our files to, to say I already have a folder structure in the old location where I saved my files was this shared drive. I have two folders and folder one has two files and in folder two I have file three and four. So I just want to move everything I've worked on and move it into teams.

There are a few ways you can do this right from within Teams from the In Files tab. We have the upload button and let's just look at how this is going to work So I just want to move everything I could select both folders and then hit upload and they both go out and keep the folder structure I do it through teams that are me not let see when I click open, it's just open the first folder. I can select multiple files and then click Open to upload those files to Teams as they have lost the folder structure they just displayed in the main folder here.

So when we get rid of these, there is a slightly different way of going into our folder structure, selecting both folders and then dragging them to Teams, or it will just drop your files here and back, which moves the files, but yours File structure is lost and As you can see, all files are put here with no folder structure, so this is also not the best way to go. So let's just delete these. If you want to do this in Teams when you don't have a lot of files to move, this is the fastest way to go as you have nowhere else to go so that you can determine if you have already set up some folders here and create folder one from scratch on new and then a new folder called that folder two - then you know you can set up your folder structure and then just drag folder 1 over those files.

Upload those two files to folder one and go back to folder in folder 2 on top of Teams and copy these files. So if you have many, many, or very many folders, this is the quickest way to do it because you have nowhere else to go. But when you move everything you used to work on, you want to team it up in bulk move, probably step 2 or step 3 is better for you.

So let's look at the second way to get your files and folders into Teams and that's how we're going to be using SharePoint. So when we go back to Files in Teams on the Files tab in all the files you want in any folder, you'll see this option at the top that says Open in SharePoint and that will just open the web version of your files in Teams seems to have exactly the same thing here as in Teams which currently has no files. I now use Google Chrome as my default browser and for good reason.

So Microsoft does not recommend using Internet Explorer anymore to end support and it is only kept for older things. If you're using Internet Explorer, this method, which I'm about to show you, won't work because you can drag the files onto the computer. If you don't have Windows 10 you need to download Google Chrome gotWindows 10 you can just use Edge and I'll show you in another article so click on one of the links below.

I'll show you how to get Google Chrome if you haven't already. But assuming you have Chrome, it may not have it as the default. So if you clicked Open in SharePoint, SharePoint may have opened in Internet Explorer, so just copy and paste the url from above into Chrome.

Assuming you've managed to find your way to Chrome and in that view of SharePoint, once you get to this point, if you want to move all of your files around, it's really that easy to select all of the folders you want and then just click them the window to drag will see you copy there so you know that it is working properly. Let go. If you upload your articles here, you will see that the folder structure we originally had has been retained.

If we go back to Teams showing us exactly the same thing, you might need to refresh the view and then the whole folder structure will show up in Teams too. If you need to move a lot of files and folder structures and have or want to keep Google Chrome, this is a very quick way to move all of your files and folders across Teams. I said they save the best for last and if you have OneDrive or are already using OneDrive it should be installed on your computer.

Option 3 is the best option for several reasons, not the least of which is because it allows you to sync your files for offline use if you're on a train or traveling to a customer, or just have a weak WiFi or cellular signal, this will ensure that you can access your files even when you are not connected. Once you connect, everything will sync and I'll be back in line. The way to do this again is to open your files view in SharePoint so that we are in the Files tab of the channel you want to sync, open it in SharePoint and then as long as you have the latest version of the Have the OneDrive you should have and you can check this out by clicking the OneDrive icon in the lower right corner and as long as you have a fairly large popup and not a small box, it means you are probably using the latest version of the Have OneDrive.

So suppose at this stage you have a view of the files and folders you want to sync across Teams that might be empty, but we can set it up so that everything syncs in the future when files are added there. You will see that there is only a small thought at the top of the screen. When we click Sync a dialog box pops up and there is something from Chrome that says you want to open OneDrive, which we do, and then a window that says what you want to sync so you can get everything in Teams can sync or sync in SharePoint as SharePoint is just the part that processes files in Teams.

So you want to make sure you are in the right folder so you probably don't want to sync everything across the team, especially the COP team (a large) team, as this will take up a lot of files and space on your hard drive. If you are an account manager, you probably only want your account and if you have a support role, you probably only want your folder in general that relates to your role. But in this case we synchronize everything that has to do with recap tests, because that's where we are in the team, recapitulation and channel testing.

And you'll see there's nothing in it right now, but we're thinking of all the files and folders anyway. When we start syncing, OneDrive will show this little popup at the bottom of the screen to say it is syncing. It won't be long because there is nothing.

If you've used OneDrive before, you'll have the OneDrive icon on the left side of your Explorer window where you can see all of your personal files. You will now get another small icon that says (Company Name) This is where all of your synced files from SharePoint sites will be displayed. You can see I have a couple of different ones that I've already synced and this is the one I think is now testing the RECAP core project team and basically when I go in there is still nothing there as we Haven't placed anything in there to allow it.

You now need to sync, which will behave like any other folder in Windows. So if we open another Explorer window and navigate to where we put the test folder we want to move, and I can just assume that this is where all of your files were in the J drive, I have folders one and two things in front of everyone Files in I just dragged them to another Explorer window where we synced the channel and instead we get a little blue icon that says it's now syncing back to the cloud, so those check marks are green then ? They are now displayed in Teams again. Even if we refresh the view I can see folders one and two there, but now we have an offline copy so even if I don't have wifi I can get to the channel and then all of my files and folders there and I can open them and edit them from that location or by going back to Teams which is probably the best way to sync your files and make an offline copy too.

This article is taken from our Microsoft team's training course. So if you want more training you can find a link to the course in the description where we will tell you all about it or you can choose the link in the top right corner and now we will look at how you can have your own meeting, which can be done through Outlook as a teenager and I'll show you both starting out with Outlook as it's probably the most popular method for scheduling meetings.

I'm using the latest update of Outlook on Windows 10 for this demonstration. So if you have an older version of Office it might look a little different above and that will open the new meeting with the details of the team already in it.You can also choose a time from the calendar by double-clicking the time you want to meet then When the window for a new appointment opens, select Teams meetings from the ribbon then you can add the meeting details to the appointment Adding the details here is something I sometimes forget so I recommend using the new team meeting button if you do it this way invite the attendees you want to join You can invite people or groups All other Outlook features apply just like a normal meeting and I assume you know how to do that You can already see in Outlook that the location is set to Microsoftteams-Meeting, but you could also have a meeting You might have a room full of people in person, and you also want to call people who work remotely through Teams so they can use the Room Finder to change their location, but the team's meeting details stay in Get Appointment This way the people attending in person will know the room they can go to and those attending from our teams can simply click the link, switch to Teams now and we'll go to the Calendar app .

How do I export teams chat to PDF?

You may try the following workaround:

Many of us work remotely with Microsoft Teams. Have you ever wondered what your boss is keeping track of about your work day? For example, how much time you actually spent on work. Let's find out. (Joy music) Okay, so I logged into the Microsoft 365 admin center.

Here I will show you what kind of information your administrator has access to and what they can extract from the system. Teams has its own dedicated admin center. Let's get to that by listing them all and going to the Teams admin center.

Now let's look at the various reports available to you. Various reports are available here under Analyzes and Reports. For example the use of the app.

Let's go to the last 30 days and run the report. Here we see the different types of apps used in Teams. In this case, there are four Microsoft apps and two third-party apps.

This information is not from the user, it is general. So that we can see that there are two active users using Trello, there are four active users we are using e Teams etc. But we cannot see which one here User has used this application.

Let's return to our reports. If your company has calling plans in place, you can get information about the number of minutes users have spent calling and the cost of the calls by running these reports. See Device usage in Teams to see what type of device they are using to get to Teams.

Whether it's Windows, Mac, iOS, Android, etc. What about using teams? “Let's run this report and see what we get. So here we have the list of the different teams and we can see how many messages have been posted within a team, how many replies there have been, urgent messages, reactions, mentions and meetings that have been organized within the team.

If you now click on a team here, you will see all members of the team and if you click on a specific member you will learn a little more about their activities in teams. For example, this person was in two meetings and one call. Under Call History you can see all the calls that this person is like in.

You can also see the duration of the call and the participants, so if I just click on it, for example, I see who with this meeting was, the duration of the call is here and I have more technical information about the devices they used to connect and also the IP address etc. Now let's go back to the usage reports and see what we are below of user activity from teams. When I run the report here, I get an overview of the total number of channel messages, reply messages, and so on, but here I have the display names of the people and their activities on Teams.

Like how many channel messages each person has sent. Reply messages, post messages, chat messages, meetings in total. So here it is by user and no longer global.

How many one-on-one calls were there, all audio time, all article time, even screen sharing time and their most recent activity. It doesn't have a timestamp, it just has the date of its last activity. Okay, so that's the information you can see by user.

Now we've checked this is for teams only. But what about the other apps? Are we getting more information per person? Well, let's go back to the Microsoft 365 admin center. Let's take a look at reports.

Here we have the productivity rating. This is only the case at the organizational level. So what it says here is that no scores are provided at the individual user level.

This is a great way to compare your organization to a peer benchmark. It's also broken down into different categories but all of this is at the organization level. Now let's go to usage and see what we get here.

These reports show how people in the company are using 365 services. If I scroll down I can see how many active users are using microsoft 365 services, and i can see this by service to see the microsoft 365 apps, but again this is general. So this is at the organizational level.

I can't see exactly which active user is using this app here. I can also see email activity and Microsoft Teams activity check out this report here so let's see more and let's scroll down, this is where I see all of the usernames and I can see their recent activity for certain services. So here, when was the last time the user reader sent an email, when was the last time they did something in OneDrive? , or did you do something in SharePoint, in Skype? Then here we have Yammer and the last activity in Microsoft Teams, OK that's the information we get at the user level.

The other information is all available at the organization level, so that's what is currently being tracked with Microsoft Teams, in my experience when working with a remote team, it is always better to assign tasks and goals, for example with Planner, rather than micromanaging each person and keeping track of their working hours.
