Daniel here from TwinBytes with another quick tech torial for you In this article I'll show you how you can export your Outlook 2019 calendar to Excel format. I made an old article about it in 2009 and someone recently commented that this is no longer possible. Well, definitely not using the same process.
So here I am going to show you how to get it right with the 2019 edition of Outlook, if you find my articles helpful please Like and Subscribe. Thanks. Okay, so from the Outlook program you don't have to go to the calendar view I'm in right now, but you can be in the mail view or any other view in Outlook.
Click on File at the top and go down to Options. Go to Advanced in the options, then scroll down a bit until you see Export. Click the Export button.
You see a number of options here and you want to export to a file. You can click Next and you want comma separated values to save in Excel. If you want to export it as a backup or transfer or import it to another computer, you can choose a PST file, but here we want it to be in Excel.
So values separated by commas give us a CSV file. In here it can highlight your calendar by default, but if it doesn't, find it and highlight it, and then you can click Next. Choose where you want to save the file and what you want to name it and you will see that it is in a CSV format.
Next, click. You have the option to map custom fields, but in this case we are only exporting them as they are and not preparing them for import elsewhere. You can make these changes anytime after it is in Excel format.
So you can just leave this alone and click Finish. Select whatever date range you want and in this case I want to have the same dates the range you selected may take a little longer to run but in this case I export a single day and it still takes one a few seconds. Now it's done so we can basically close this window and then open our Excel sheet.
So when you open the Excel file, you will see that it looks a bit messy. Everything's squashed for the columns and the rows to be pretty wide, so you can click up here at the top left between column and row and double-click on the line between column A and B so that the pointer turns into a double-sided arrow. Double click on that and it will be made the perfect width so you can read all of the text, and then the same thing here on the lines between line 1 and 2, when you get that double sided arrow, double click and it will all align perfectly as best it can can.
Now some of these are a little squashed and you can see why right here, but there is the theme that is the main part of the calendar, you can see the date and time and there is additional information if you go over it you will see where your notes are ... that's about as long as it is; and once you've squeezed these into multiple lines there may not be much you can do about it, but I know that most of the time these should all be on one line.
So while we did that double click to make everything perfect, it didn't do it for everyone. So at least it didn't do it for the description, so here we have to grab and drag it and manually zoom in and then when you double-click it, align it again. Now if we go back here to highlight everything and double-click between the rows it will align them a little closer so it looks a little more compact, especially when you have a lot to see.
That's it for the export and a little further tweaking once it's exported. I hope you found this useful. If you want to know more details about Excel or anything else, please write your comments below and if you like the article please give it thumbs up of course and subscribe to see you next.
Goodbye for today.
